Reports to: Chief Executive Officer

POSITION SUMMARY:

The Accounts Receivable Clerk (“A/R Clerk”) works closely with the Chief Executive Officer (“CEO”) and other team members to administer the accounts receivable and cash receipts related financial policies developed in concert with the Board of Directors and the Chief Executive Officer to ensure the sound financial position of the Southern Oregon Multiple Listing Service (“SOMLS”) and the non-profit parent corporation, the Rogue Valley Association of REALTORS® (“RVAR”).

ESSENTIAL FUNCTIONS:

Manage accounts receivable and other cash receipts for SOMLS and RVAR including, but not limited to:

  • Effectively administer accounts receivable and cash receipts for both SOMLS and RVAR.
  • Maintain accurate records using financial software and an efficient filing system.
  • Prepare deposits in a timely fashion.
  • Reconcile A/R between accounting and membership programs each week.
  • Reconcile bank statements monthly.
  • Process daily merchant account activity.
  • Oversee all collections; process all invoices, monthly statements, and annual dues.
  • Handle invoice payments and inquiries, including credit card auto-pays.
  • Remit new member dues to OAR and NAR in a timely manner.
  • Assist with inquiries and requests related to membership billing.
  • Provide a list to Member Services of those members suspended monthly for non-payment per the Rules and Regulations.
  • Post monthly general ledger journal entries (including, but not limited to, inventory adjustments, deferred dues revenue, key deposit reimbursements, etc.).
  • Maintain required information for political action committee, submit PAC funds to OAR within required timeframes, and transmit necessary information to OAR consultant for timely reporting to the Oregon Secretary of State.
  • Be knowledgeable about finance related Bylaws, Rules and Regulations, and Policies and Procedures (especially accounts receivable and cash receipts policies and procedures) for both RVAR and SOMLS.
  • Ensure adherence to the financial policies, working with the CEO in an annual review of the policies, and recommending amendments when needed.
  • Keep the CEO apprised of all financial operations and issues.

QUALIFICATIONS:

This position requires an individual who is customer friendly, detail oriented and able to balance multiple (and sometimes competing) priorities. This individual must have knowledge of bookkeeping practices and familiarity with Generally Accepted Accounting Principles (GAAP). The individual in this position will be primarily interacting with the REALTOR® members regarding their accounts and as such must be able to maintain a professional, calm, and respectful demeanor while still being approachable to a diverse membership. Additional beneficial skills are a working knowledge of Quickbooks, an acuity for learning new skills and technologies, and the ability to explain financial reports to individuals and groups of various experience levels.

WORK ENVIRONMENT AND PHYSICAL DEMANDS:

  1. Ability to stand or sit while maintaining alertness for several hours at a time.
  2. Must be able to lift and carry supplies weighing up to 20 pounds.
  3. Position may require bending, leaning, kneeling, and walking.
  4. Ability to speak concisely and effectively communicate.
  5. Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency.
  6. Ability to view/enter data for long periods of time.

GENERAL EXPECTATIONS:

All staff members are expected to:

  • Provide outstanding customer service.
  • Have the ability to communicate, both oral and written, in a professional, approachable manner.
  • Learn and use appropriate computer software programs.
  • Be able to answer general questions about SOMLS and RVAR services and know which staff person to refer to for further assistance.
  • Have a general knowledge of the Bylaws, Rules and Regulations, and Policies and Procedures of both RVAR and SOMLS.
  • At the direction of the CEO, provide cross-training to appropriate staff members.
